Reclaim.ai's Buffer Time feature stopped me from having back-to-back meetings every day and I did not realize how much that was costing me
I want to write about a feature that sounds administrative but had a real impact on how I feel at the end of a workday.
Before I used Reclaim I had a scheduling link that let people book meetings in any available slot. Available meant not blocked by another meeting. So what happened over time was a calendar that was full of back-to-back meetings from morning until early afternoon with no time between any of them to think, take notes, prepare for the next call or do any of the actual work that the meetings were about. By 2pm I was mentally done and the afternoon was mostly unavailable.
Reclaim's Buffer Time Management automatically adds travel time and transition breaks between meetings without me having to manually block time after every booking. I set the buffer rules once. Any meeting booked through my scheduling link now arrives with enforced space before and after it.
That sounds like a small configuration change. The practical effect on my energy across the day is significant. Having ten minutes between calls to write down what was decided, reset mentally and look at what is coming next is different from going directly from one intense conversation into another.
The Calendar Syncing across work and personal calendars prevents the situation where my work calendar shows open time that is actually committed to something personal. The Smart 1:1s feature finds meeting times for recurring team check-ins based on everyone's actual availability including the time they have protected for other things.
The Analytics and Insights show how time is actually distributed which was useful for understanding how bad the back-to-back pattern had become before I addressed it.
