Insightful is moving from employee monitoring toward a broader work intelligence layer for the AI era
AI adoption analytics, workflow optimization and an alpha executive-intelligence layer are extending the platform beyond time tracking, while telemetry governance remains the central buying decision.

Insightful is moving from employee monitoring toward a broader work intelligence layer for the AI era
Insightful has spent years in a category that is easy to misunderstand.
At its most basic, the product records activity on work computers. It can show active and idle time, applications and websites, attendance, screenshots, projects, tasks and productivity classifications.
That can look like employee monitoring software.
In 2026, Insightful is trying to become something larger.
The product now combines Workforce Analytics with an AI Adoption Report, a beta Workflow Optimization product and an invite-only Work Intelligence alpha. The direction is clear: capture how work actually happens, then use that activity data to answer management questions about capacity, process friction, software usage and where AI or automation may create measurable value.
This repositioning matters because the economic question around workforce software is changing.
For several years, employers bought monitoring tools to answer questions such as whether remote employees were active or whether time sheets reflected real work.
Now the same underlying telemetry can answer a different set of questions.
Which teams are actually using AI?
Which paid AI tools are being ignored?
Where are processes spending too much time in manual handoffs?
Which roles are overloaded?
Which workflows are candidates for automation?
Which applications consume time without contributing to the intended work?
Insightful's 2026 product strategy is increasingly built around those questions.
The AI Adoption Report is the most concrete new AI feature
Insightful released its AI Adoption Report to general availability in June 2026.
The report uses activity data already collected by the Insightful desktop agent.
It does not require a new integration.
Admins can define which applications and websites should be categorized as AI tools, while Insightful also maintains classifications for commonly used products such as ChatGPT, Claude, Gemini and embedded AI tools.
The report then measures several kinds of adoption.
AI Adoption Rate measures the share of active workdays where AI tools were used.
Daily AI Users counts employees using AI on active workdays.
Daily AI Time per Employee measures time spent in AI tools.
The report also counts the number of AI tools being used and lets teams compare adoption over time.
A maturity view groups teams according to breadth and depth of AI usage.
Another cross-tool comparison helps identify which products are gaining traction and which paid tools may be sitting unused.
This is useful because enterprise AI procurement is becoming a visibility problem.
Buying licenses does not prove adoption.
A survey does not reliably prove usage.
An employee opening ChatGPT once does not prove that AI is changing output.
Insightful is attempting to provide a behavioral baseline using real activity data.
That is valuable, but the limits matter.
The report measures usage, not the quality of the work produced.
Time spent in an AI tool can be productive, exploratory, inefficient or unnecessary.
A department with high AI usage is not automatically more effective than a team using AI selectively.
A paid license with low usage is not automatically waste because some specialist tools are used only when specific work appears.
The correct workflow is therefore to use AI Adoption as a diagnostic layer.
Find where tools are used.
Compare teams.
Then connect that usage to operational outcomes such as cycle time, billable hours, rework, throughput or quality.
Insightful's own positioning is increasingly moving in that direction.
Work Intelligence is the more ambitious product, but it is still alpha
Insightful introduced Work Intelligence in a limited alpha in June 2026.
The product is aimed at executive and operations leaders trying to understand how work moves across people, processes and technology.
The current product documentation says Work Intelligence is offered as its own alpha plan and builds on the activity data customers already collect in Insightful.
The company describes it as an AI-powered view of where time goes, what work is duplicated and which processes are ready to automate.
This is strategically important.
Most employee-monitoring platforms are strongest at describing work after it happens.
Work Intelligence is trying to turn that telemetry into a decision-support system.
The promise is that executives can ask broader questions rather than reading raw activity dashboards.
Where is capacity being lost?
Which teams repeat the same manual steps?
Where does AI adoption align with better output?
Which workflows should be redesigned before buying another automation platform?
The product should not be described as generally available.
It remains an alpha program for selected companies.
That distinction belongs in the WhatAI record because early-access functionality can change quickly.
The right buyer should evaluate it as a collaborative pilot rather than a mature off-the-shelf module.
Workflow Optimization creates a process-intelligence layer
Insightful's Workflow Optimization product entered beta in July 2026 for selected customers.
The initial positioning is particularly strong for process-heavy back-office work such as claims operations.
Instead of only showing whether an employee was active, Workflow Optimization attempts to map work against the actual case, claim, ticket or process being handled.
That is a much more useful unit of analysis.
A company does not ultimately care how many minutes someone spent in Salesforce.
It cares how long a claim took, where it stalled and which system or handoff created the delay.
The current Workflow Optimization page describes desktop-level execution capture, workflow mapping, workflow measurement, process bottleneck detection and continuous improvement.
The beta documentation also says the product is especially relevant to organizations using Salesforce Service Cloud and other back-office systems.
The strategic idea is strong.
Capture real execution data before automating the process.
That can reduce a common enterprise AI mistake.
Organizations often automate a workflow before they understand where the actual waste sits.
Automating a bad process can simply make the wrong process happen faster.
Insightful is trying to sell the analysis layer before the automation decision.
Again, the maturity level matters.
Workflow Optimization is still beta.
The public pricing page advertises $12 per seat per month when billed annually, but access is still described as beta for selected customers.
Companies should therefore verify current availability, onboarding requirements and feature scope with sales.
The core Workforce Analytics product remains the foundation
Despite the new AI positioning, the product still depends on workforce telemetry.
Workforce Analytics includes real-time activity, app and website usage, capacity analysis, attendance, time tracking, screenshots, productivity reporting, location insights and related reporting.
Current annual pricing starts at $8 per monitored employee per month.
Insightful's July 2026 knowledge base lists the month-to-month Workforce Analytics price at $10 per seat.
Workflow Optimization is $15 monthly according to the same help center, while the Combo Plan is $20 monthly.
The main pricing page currently shows annualized prices of $8 for Workforce Analytics, $12 for Workflow Optimization and $16 for Combo.
Those sources are consistent when interpreted as monthly versus annual billing rather than as a conflict.
This should be presented clearly because the headline $8 price is not the standard month-to-month price.
Enterprise remains custom.
Insightful charges for monitored employees rather than ordinary admin, manager or client dashboard access unless those users are also being monitored.
Billing is prorated when seats or plans change during the cycle.
Add-ons can materially change the effective price
Several capabilities that buyers may assume are included everywhere are sold separately.
Workspace Security is currently $4 per seat per month.
It adds insider-threat detection and activity logs.
Data Warehouse Integrations cost $0.50 per seat per month and include custom API access plus BigQuery and Snowflake integration.
On-Demand Screenshots cost $4 per seat per month.
Increased Screenshot Frequency costs $3 per seat per month and can raise capture frequency to 120 screenshots per hour.
Screen Recording costs $4 per seat per month.
The important billing detail is that add-ons apply to every active seat on the base subscription even if the actual feature is only turned on for selected employees.
That can change the economics quickly.
If a company has 500 licensed employees and only needs screen recording for a smaller investigation or QA group, it can still be billed across the full active seat count.
Buyers should therefore calculate the total planned configuration rather than comparing only base-plan prices.
The employee-monitoring layer still creates the biggest governance question
Insightful supports both Visible and Stealth deployment on company-owned computers.
Visible mode shows the application and can let employees clock in and out, interact with tasks and view selected personal data.
Stealth mode runs in the background without the application icon and without employee controls.
Insightful's current documentation explicitly says employees in Stealth mode cannot stop tracking and that terminated Insightful processes automatically restart.
The company also notes that different jurisdictions have different rules around employee monitoring and that customers should understand local and federal requirements.
That is a necessary warning.
Stealth monitoring is not simply another product preference.
It can change the employment, privacy and trust implications of the deployment.
Even where covert or undisclosed monitoring may be legally permitted, organizations should ask whether it is appropriate for the intended objective.
A company trying to improve capacity planning may not need the same level of visibility as a company investigating insider threats.
A healthcare organization may have different screenshot concerns from a call center.
A contractor-payroll workflow may require evidence of work without requiring continuous visual surveillance.
Insightful provides granular controls.
The buyer has to decide which controls should be enabled.
The best implementation should therefore start with the business question and work backward to the minimum telemetry needed to answer it.
Screenshots can be useful and invasive at the same time
Insightful supports scheduled screenshots, on-demand screenshots and screen recording.
Employees can be permitted to view or delete their own screenshots.
The product can also blur screenshots depending on configuration.
Current documentation says screenshots and screen recordings are retained for 60 days from capture at the point of purchase before permanent deletion.
Insightful also explicitly says it does not perform keystroke logging.
That is an important difference from more invasive surveillance products.
It does not remove screenshot risk.
A screenshot can contain customer data, health information, banking data, private messages, passwords, personal browsing or other sensitive information depending on the employee's work.
The correct question is therefore not whether screenshots are available.
It is whether screenshots are necessary.
For many analytics use cases, app usage, active time, calendar context, tasks and aggregated team trends may be enough.
If screenshots are required for billing disputes, security investigations or process QA, the organization should define frequency, blurring, role permissions, retention and employee visibility deliberately.
The employee dashboard can improve transparency when it is enabled
Insightful lets organizations provide employees with access to their own data.
Depending on permissions, employees can see productivity metrics, attendance, app and website usage and screenshots.
They can also be allowed to delete their own screenshots.
This matters because monitoring systems become harder to trust when data only flows upward.
An employee-facing dashboard can give workers a way to inspect how the platform represents their day and challenge incorrect interpretations.
That is particularly important because activity data is not the same as output.
A manager can see only two hours of computer activity while the employee spent several hours in meetings, on phone calls or doing offline work.
Insightful can incorporate calendar meeting data and manual time, but configuration determines how those activities affect utilization.
A current 2026 Reddit discussion illustrates the risk clearly: a manager described a high-output employee whose Insightful data appeared to show only a few hours of work.
That anecdote is not proof of a product defect.
It is a reminder that telemetry needs context.
A productivity number should trigger investigation, not become an automatic employment decision.
The new irregular-behavior detection creates another high-stakes signal
In June 2026, Insightful began beta testing an Irregular Behavior Alert designed to identify known activity-simulation tools such as mouse jigglers and auto-clickers.
Detection runs after employee shifts and produces a daily notification plus a detailed log view.
The documentation says the detection engine uses a known list of tools and behavior patterns and that coverage will expand.
It also says the feature uses a high confidence threshold but still recommends reviewing each alert before acting.
That final point is essential.
A fraud signal is not proof of fraud.
The feature remains beta and can miss newer tools.
Any workforce alert that could contribute to disciplinary action should have human review and an appeal or verification process.
Security credentials are stronger than many low-cost monitoring tools
Insightful publicly lists SOC 2, ISO 27001, HIPAA, GDPR, CSA and CCPA support on its security page.
It says data is encrypted in transit and at rest.
The product also supports enterprise identity and data integrations, including Okta, Microsoft Entra ID, Google Workspace, JumpCloud, BigQuery and more than fifty application integrations.
That makes the platform credible for larger organizations that need workforce analytics connected to existing systems.
The precise wording still matters.
A vendor security page describing HIPAA support does not make every customer deployment HIPAA compliant.
Customers remain responsible for configuration, access controls, screenshot policy, data retention, employee disclosure and any required agreements.
The same applies to GDPR and workplace monitoring law.
A compliant platform can still be deployed in a non-compliant way.
The affiliate and partner model is active, but public commercial terms are incomplete
Insightful operates partner programs for resellers, referrals and managed service providers.
The current main partner page says commissions start at 15 percent.
A newer partner surface separates MSP and Affiliate programs and says affiliates can use a unique referral link, earn commission on signups and track referrals through a partner platform.
It does not publish a complete affiliate commission duration, cookie window or payout threshold on the public page.
That means WhatAI should record the program as available but should not invent payout economics.
The affiliateLink should remain empty until WhatAI has a verified partner link and the exact commercial terms associated with that account.
WhatAI's view
Insightful is now better described as a work intelligence platform than as a simple employee monitor.
The monitoring layer still exists.
It is actually what makes the newer analytics possible.
The difference is what the company is trying to do with the data.
The AI Adoption Report turns application activity into a map of enterprise AI usage.
Workflow Optimization attempts to connect desktop execution with actual cases and process bottlenecks.
Work Intelligence is trying to turn workforce telemetry into executive decision support around capacity, duplication and automation opportunities.
That direction is commercially relevant in 2026.
Companies are spending heavily on AI without always knowing whether employees use the tools or whether workflows improve.
Insightful can provide evidence that surveys and license counts cannot.
The risk is mistaking behavioral evidence for business truth.
Computer activity is a proxy.
AI usage is a proxy.
A productivity label is a configured interpretation.
A screenshot is a moment.
An irregular-behavior alert is a signal.
None of those should replace output metrics, manager context, employee explanation or professional judgment.
The best deployment therefore starts with a narrow question.
If the objective is AI adoption, begin with app and website telemetry and the AI Adoption Report.
If the objective is billable-hours verification, configure time and project tracking with the minimum necessary screenshot policy.
If the objective is process improvement, test Workflow Optimization on a workflow with known cycle-time problems.
If the objective is insider threat detection, involve security, legal and HR before enabling more invasive monitoring.
Then validate the data.
Give employees appropriate visibility.
Document how productivity categories are defined.
Review how meetings and offline work are represented.
Audit false positives.
Measure outcomes that matter to the business.
The strongest reason to buy Insightful in 2026 is no longer simply knowing whether people are online.
It is the possibility of turning work telemetry into evidence about how people, software, processes and AI actually interact.
That is valuable only when the organization uses the evidence carefully.
Insightful has evolved from Workpuls-style employee monitoring into a broader work intelligence platform combining workforce analytics, AI adoption reporting, process optimization and increasingly AI-assisted management insight.
The biggest 2026 change is measuring AI usage and workflow opportunity
The generally available AI Adoption Report shows which AI tools teams use and how adoption changes over time, while Workflow Optimization remains beta and Work Intelligence remains an invite-only alpha for mapping processes, duplicated effort and automation opportunities.
The most important buying decision is how much monitoring is actually necessary
Insightful supports Visible and Stealth modes, screenshots, on-demand screenshots and screen recording. These capabilities can support billing, security and operations, but they require deliberate privacy, legal and employee-governance decisions rather than default activation.
