Fireflies.ai handles meeting transcription across every platform and the search feature is underrated

My team uses a mix of Zoom, Google Meet and the occasional Teams call depending on who the client is. Finding a meeting assistant that works consistently across all three without separate setup for each was the first problem Fireflies.ai solved for me.

The basics work well. It joins calls automatically based on your calendar, records, transcribes and generates a summary with highlights and action items pulled out. Integration with Google and Apple calendars means setup is genuinely once and done.

The thing that surprised me after using it for a few months is the Global Search. You can search across every transcript you have ever saved for a specific keyword, topic or decision. So if I need to find the conversation where we agreed on a specific deliverable from three months ago I can search for it rather than scrubbing through recordings. For ongoing client relationships that builds into something really valuable over time.

The Ask Fred feature lets you query a specific transcript conversationally after the meeting, things like "what were the open questions" or "summarize the decisions" without reading the whole thing. One honest limitation: transcription accuracy drops noticeably if audio quality is poor or there is background noise. Still usable but worth a quick review before sending notes to a client.

The cross-transcript search is legitimately one of the most underrated features in any productivity tool I use. I searched for a specific project name across eighteen months of meeting transcripts and found the exact conversation where the scope changed. Without that search I would have had no way to locate it.

The eighteen months of searchable transcript history changing the practical usefulness of the tool is an underappreciated point about meeting intelligence platforms generally. The value is not in any individual meeting's transcript. It is in the accumulated searchable record of everything that has been decided, agreed, discussed and committed to across all your meetings. The Ask Fred question-and-answer interface on individual transcripts being useful specifically for long or complex meetings where re-reading the full transcript to find one piece of information is disproportionate is the use case worth naming. A 90-minute strategy meeting transcript is not a document most people want to read carefully. Being able to ask it specific questions and get targeted responses with references to the relevant section changes how you interact with long transcripts entirely...
